Board Meeting Rules
In order to have a more productive HOA Board meeting and eliminate emotional, harassing behavior, the following rules have been established. We are here to do a job, the focus must be on doing that job, not getting intertwined with off agenda discussions.

- The Board meetings will be scheduled as needed, but is the 4th Tuesday of a given month, and begins promptly at 6pm. Homeowners may attend in person or on Zoom.

Zoom: To be sent via email. - A Board meeting is for Homeowners to observe a meeting of the Board of Directors, just like any other corporation or non-profit. If a Homeowner wants to get in on the planning and have input before decisions are made, join a committee. By the time it comes to a Board meeting, the Board is simply ratifying a decision that has already been made.
Homeowners may attend the meeting in person, unless they have received notice otherwise, in accordance with the Eagle Pointe Conduct Resolution. Otherwise, those individuals will be limited to Zoom attendance.
- Agenda Creation. The agenda is set in advance by the Board. Any topics you wish to discuss must be submitted to the Board by the 3rd Tuesday of the month by filling out the online form on this page or by mailing them to Alliant Property Management, 13831 Vector Ave, Fort Myers, FL 33907, ATT Brandi Wells.
Any form submitted after that date will roll into the following month’s requests. There is no guarantee your topic will be addressed, the Board will make the final determination whether it will be added to the agenda. The notification and Agenda will be posted at the Pool and sent via email by end of day, the 3rd Friday of each month.
- Meeting Time. The meeting begins promptly at 6pm. Any Homeowner showing up late in attendance will need to get the information that was discussed prior to their arrival from the minutes of the meeting at a future date. The Board will not go back and review what had been missed.
Any Homeowner attending the physical location must sign in. Any Homeowner attending Zoom must turn their camera on so the Board can verify they are a homeowner. If that is not done, the user will be disconnected.
- A Board meeting is for Homeowners to observe a meeting of the Board of Directors, it is not a general discussion. Homeowners are not to speak until the member comments section and at no other time. The behavior is to be professional. No swearing, yelling or ‘firing back’ at anyone is acceptable. Constant negative comments are not productive, professional or welcome. Keep your emotions under control or be subject to the Enforcement section of the Eagle Pointe Conduct Resolution. Act with integrity, professionalism, and be respectful of other persons and property.
Any Homeowner who physically attends that does not respect the Eagle Pointe Conduct Resolution will be asked to leave. If that person will not, then the Eagle Pointe Conduct Resolution Enforcement of Conduct and Communications will go into effect.
All Zoom calls will be treated as most professional organizations by placing all users on mute when they first logon. Users may raise their hand at the Homeowner Discussion in the agenda if they wish to speak to the Board.
- The agenda will be adhered to. Your chance to get topics or questions included on the agenda is only via the methods described above. Bringing in topics of any other entity, ie, Gateway Services issues, Realtor issues, etc., is not acceptable during a meeting.
- Homeowner Discussion. This will be limited to the Homeowners who sign up or sign in for the meeting on time. The Board will call on each Homeowner to speak, of which they will have 3 minutes to make comments. Homeowners are more than welcome to bring a problem to the board, but please bring an idea for a solution as well. It may or may not be the final solution, but at least it shows you are trying to come up with a solution. Otherwise, it’s just complaining. The Board may or may not respond to your comments or questions.
These new rules are going into effect immediately, because of the actions of a few. We enjoyed it when we were able to be relaxed and neighborly. However, the constant barrage of negative, harassing comments by a minority has brought us here.
In 2023, we will be able to complete what no other board has been able to accomplish. We’re willing to put in the volunteer hours to do it, we just need your support. We thank you for your understanding.
